The United Nations Office at Nairobi (UNON) is recruiting Human Resources Assistants (G6) to provide comprehensive staff administration, contracts management, benefits processing, and client advisory services. This position offers the opportunity to work at the Secretariat’s headquarters in Africa, supporting key UN agencies and programmes globally. The United Nations Office at Nairobi (UNON) is the UN headquarters in Africa and the representative office of the Secretary-General. UNON supports the UN Environment Programme (UNEP), Resident Coordinator System (RCS), UN-Habitat globally, and other UN offices in Kenya by providing administrative, conference, and information services. These positions are located within UNON HRMS, Staff Benefits and Entitlements Section. Incumbents report to a Cluster Lead or Section Chief and provide HR and administrative support within delegated authority.
- Administration of Contracts and Staff Movements: Carry out onboarding, process personnel actions, issue letters of appointment, monitor contract expirations and extensions, process temporary/permanent staff movements, inter-agency transfers, offboarding, and separations.
- Administration of Benefits and Entitlements: Review reports and process staff benefits and entitlements. Maintain personal status records, administer/monitor dependent entitlements, review time/attendance, process leave, health/life insurance, and pension documentation.
- Client Assistance & Guidance: Conduct induction briefings for new staff, exit interviews for separating staff, and advise on eligibility for benefits and entitlements.
- General: Monitor compliance with regulations, assist with data collection and knowledge sharing, participate in HR projects and ad hoc exercises, and perform other functions as required related to staff administration.
- Professionalism: Knowledge and application of UN administrative/HR rules, ability to perform a range of HR and benefits actions, issue identification and judgment, initiative, data analysis and decision support, commitment to results and deadlines, gender equality advocacy.
- Communication: Clear and effective speaking and writing, attentive and responsive listening, openness, strong informational communication skills.
- Client Orientation: Service mindset, productive partnerships, needs identification and solution matching, client development monitoring, prompt service delivery.
Completion of high school diploma or equivalent is required.
- Minimum 7 years (5 with a first-level university degree) of progressively responsible experience in HR management, admin services, or related area.
- 5+ years in administering staff benefits and entitlements is desirable.
- Experience in UN/Common system staff administration is desirable.
- Working with Enterprise Resource Planning (ERP) systems (e.g. Umoja/SAP) is an asset.
- 1+ year in data analytics or a related area is desirable.
English and French are the UN Secretariat working languages. For this post, English is required.
